The Convincing Kit

Make the internal case for Safety On The EDGE™ 2027

MAY 11-12  |  SAVANNAH, GEORGIA, USA

How to use this Kit

A business-case memo, an ROI one-pager and three ready-to-send approval emails

You already know why you should be in Savannah. This kit exists for the person who has to sign it off. Most conference decisions do not die at the desire stage; they die at the approval stage, when a good instinct meets a busy approver and nobody has done the translation. The kit does the translation for you.

The Business Case Memo is a one-page justification you can put on your manager’s desk. Fill in the brackets, delete what does not apply, and send it as your own.

The ROI One-Pager frames the investment against what your organization gets back, including the commitments you make in return. Attach it to the memo.

The Approval Emails are three versions of the same request, written for the three people who most often hold the pen: your CFO, your COO and your HR or People leader. Each speaks to what that approver actually weighs.

Re: Attendance at the Safety On The EDGE Global Forum, 11-14 May 2027, Savannah, Georgia

Request: Approval for [number] delegate place(s) at a total cost of [registration + travel estimate], inclusive of registration, flights and accommodation.

What this is. SOTE is not a trade show. It is a deliberately capped annual Forum, one plenary stage, four curated streams, small-group Professional Development Seminars and a Benchmarking Forum with a hard seat limit, where organizations of the caliber of Caterpillar, Nike, P&G, Siemens and Tesla present how they actually manage serious risk. The best safety work in the world is unpublished; this is where it is shown. The Forum is run in partnership with the National Safety Council and Johns Hopkins, and sessions carry CEU credit.

Why us, why now. [One or two sentences on your context: e.g., “We are midway through our safety strategy refresh and our current thinking on serious injury prevention needs external benchmarks,” or “We have committed to moving beyond injury-rate metrics and need to see how leading organizations measure what matters.”]

What the business gets back. I will commit to the following deliverables within two weeks of return:

  • A written executive debrief: the five most decision-relevant things I learned, each with a recommendation.
  • A benchmarking comparison: where our practice stands against what the presenting companies showed, and the two or three gaps most worth closing.
  • A briefing session for [leadership team / safety committee / site managers], so the value is distributed, not private.

The alternative. Comparable external input, a benchmarking study or a consulting diagnostic, would cost a multiple of this request and would not include peer access. The Benchmarking Forum seats are capped and the registration price rises on published deadlines that are not extended, so deferring the decision raises the cost of the same access.

Recommendation. Approve [number] place(s) by 2026 to secure [current price tier / Benchmarking Forum seats]. I am happy to discuss.

2. The ROI One-Pager

Attach this to the memo. Fill in your own numbers; the structure does the arguing.

The investment

Item Amount
Registration (per delegate) [fee at current price tier]
Second delegate (reduced-rate, non-safety executive) [reduced fee, if applicable]
Flights and accommodation (4 nights, Savannah) [estimate]
Time away from role 4 working days
Total [total]

The return

Category What it is worth
Unpublished practice Direct exposure to how eight best-in-class organizations manage serious risk, material that is not available in journals, at trade shows or from vendors. A consulting engagement covering equivalent ground typically costs a multiple of the total above.
Benchmarking A structured, seat-capped Benchmarking Forum comparing our practice with peer companies at company level. Output: a gap analysis we would otherwise commission externally.
Decision quality Plenary and stream content from the discipline's leading thinkers on the questions our executive team is already asking: what to measure instead of injury rates, how AI and automation change the risk profile, and where catastrophe risk actually sits.
Network Standing access to a curated peer community (the delegate cohort, year-round webinars and forums), which outlives the four days.
Development CEU-accredited professional development for the delegate(s), aligned with [certification / IDP requirements].
Co-location Held alongside the NSC Safety Congress Summit; a combined itinerary compounds the value of a single trip.

The commitments (what we owe back)

  • Executive debrief memo within two weeks: five findings, five recommendations.
  • Benchmark gap analysis against the presenting companies, with the top gaps costed for action.
  • One internal briefing session so the learning reaches [leadership team / sites], not one notebook.

The cost of the empty chair

Our peers will spend four days comparing serious-risk practice at company level. The only question this one-pager cannot answer is whether we are in that conversation or the subject of it.

3. Ready-to-Send Approval Emails

Check in with your CFO, COO and HR

3.1  To your CFO (the number and the risk)

Subject: Approval request: [total] for benchmarking access we cannot buy elsewhere

Hi [name],

I am requesting approval of [total] for [number] place(s) at the Safety On The EDGE Global Forum, 11-14 May 2027 (Savannah). One line of context on why this is not a conference line item: the core of the event is a seat-capped Benchmarking Forum where companies including Caterpillar, P&G and Siemens present how they manage serious operational risk, material that is unpublished and otherwise accessible only through consulting engagements at several times this cost.

The financial logic is asymmetric. The downside is the number above and four working days. The upside is exposure to practice that bears directly on our low-frequency, high-severity exposure, which is where the balance-sheet risk actually lives, plus a benchmark gap analysis I will deliver in writing within two weeks of return.

Two timing constraints: the current price tier expires on 2026 and the Benchmarking Forum seats are capped, and SOTE publishes its deadlines in advance and does not extend them. Could we approve by 2026?

Happy to walk through the attached one-pager. Thanks, [name]

3.2  To your COO (the operational case)

Subject: Four days that benchmark us against the best operators in the world

Hi [name],

I would like approval for [number] of us to attend the Safety On The EDGE Global Forum in Savannah, 11-14 May 2027. The reason this one is worth four days: it is built around a capped Benchmarking Forum where eight best-in-class operators, the caliber of Caterpillar, Siemens and Tesla, show how they actually run serious-risk management, control-room practice, critical control verification, the things that never make it into published material.

I want to bring back three specific things: where our practice stands against theirs, the two or three gaps most worth closing, and what leading operators are doing about automation and AI in high-hazard work. I will put all three in a written debrief and brief [the ops leadership team] within two weeks of return.

There is also a reduced-rate second seat designed for a non-safety executive, and I would value having [operations colleague] there for exactly that reason: the benchmarking lands differently when operations hears it firsthand.

The seats are capped and the price steps up on 2026. Can we decide by 2026?

Thanks, [name]

3.3  To your HR / People leader (the development case)

Subject: Development request: CEU-accredited Forum with Harvard and Johns Hopkins faculty

Hi [name],

I am seeking approval for [number] place(s) at the Safety On The EDGE Global Forum (11-14 May 2027, Savannah), and I am routing it through you because it is genuinely a development investment, not an event. The program is CEU-accredited, run in partnership with the National Safety Council and Johns Hopkins, and taught through small-group Professional Development Seminars rather than lecture halls; recent faculty include Amy Edmondson (Harvard) and the discipline’s leading thinkers.

It maps directly to [my IDP / our capability framework]: [one line, e.g., “senior risk leadership and executive influence”]. It also connects the delegate cohort year-round, which matters for retention of senior safety talent; this community is where our best people would otherwise be recruited from.

I will run an internal knowledge-share on return so the development compounds beyond one person. Registration steps up in price on 2026; could we confirm by 2026?

Thanks, [name]
