How to use this Kit
A business-case memo, an ROI one-pager and three ready-to-send approval emails
You already know why you should be in Savannah. This kit exists for the person who has to sign it off. Most conference decisions do not die at the desire stage; they die at the approval stage, when a good instinct meets a busy approver and nobody has done the translation. The kit does the translation for you.
The Business Case Memo is a one-page justification you can put on your manager’s desk. Fill in the brackets, delete what does not apply, and send it as your own.
The ROI One-Pager frames the investment against what your organization gets back, including the commitments you make in return. Attach it to the memo.
The Approval Emails are three versions of the same request, written for the three people who most often hold the pen: your CFO, your COO and your HR or People leader. Each speaks to what that approver actually weighs.
1. The Business Case Memo

What this is. SOTE is not a trade show. It is a deliberately capped annual Forum, one plenary stage, four curated streams, small-group Professional Development Seminars and a Benchmarking Forum with a hard seat limit, where organizations of the caliber of Caterpillar, Nike, P&G, Siemens and Tesla present how they actually manage serious risk. The best safety work in the world is unpublished; this is where it is shown. The Forum is run in partnership with the National Safety Council and Johns Hopkins, and sessions carry CEU credit.
Why us, why now. [One or two sentences on your context: e.g., “We are midway through our safety strategy refresh and our current thinking on serious injury prevention needs external benchmarks,” or “We have committed to moving beyond injury-rate metrics and need to see how leading organizations measure what matters.”]
What the business gets back. I will commit to the following deliverables within two weeks of return:
- A written executive debrief: the five most decision-relevant things I learned, each with a recommendation.
- A benchmarking comparison: where our practice stands against what the presenting companies showed, and the two or three gaps most worth closing.

The alternative. Comparable external input, a benchmarking study or a consulting diagnostic, would cost a multiple of this request and would not include peer access. The Benchmarking Forum seats are capped and the registration price rises on published deadlines that are not extended, so deferring the decision raises the cost of the same access.

One line of context on why this is not a conference line item: the core of the event is a seat-capped Benchmarking Forum where companies including Caterpillar, P&G and Siemens present how they manage serious operational risk, material that is unpublished and otherwise accessible only through consulting engagements at several times this cost.
The financial logic is asymmetric. The downside is the number above and four working days. The upside is exposure to practice that bears directly on our low-frequency, high-severity exposure, which is where the balance-sheet risk actually lives, plus a benchmark gap analysis I will deliver in writing within two weeks of return.
Two timing constraints: the current price tier expires on 2026 and the Benchmarking Forum seats are capped, and SOTE publishes its deadlines in advance and does not extend them. Could we approve by 2026?

3.2 To your COO (the operational case)

I want to bring back three specific things: where our practice stands against theirs, the two or three gaps most worth closing, and what leading operators are doing about automation and AI in high-hazard work. I will put all three in a written debrief and brief [the ops leadership team] within two weeks of return.
There is also a reduced-rate second seat designed for a non-safety executive, and I would value having [operations colleague] there for exactly that reason: the benchmarking lands differently when operations hears it firsthand.
